About Voyager
We launched our proprietary immigration platform in April 2022. The platform transforms the way Meltzer Hellrung operates by replacing commercially available tools for interacting with clients and serves as our primary operating system. The platform collects information from companies and foreign employees, manages internal workflow, tracks active application processes, and serves as a repository of immigration documentation.
About the Role:
The Legal Assistant Lead will be responsible for overseeing the primary legal administrative function with our firm, ensuring efficient processing of incoming mail and documents, data entry into our file and case management systems, timely correspondence with our clients regarding their ongoing immigration processes and next steps, shipping vital immigration applications with the government and related organizations, and assisting our legal team with other administrative tasks.
Specific responsibilities will include:
- Work with our legal operations team to help oversee a team of part-time legal assistants, including weekly scheduling, quality audits, and project management
- Manage and organize case files and documents
- Managing and updating workflows
About you:
- At least 2 years of employment-based immigration experience in a paralegal role or similar capacity.
- Experience with visa preparation on H-1B, PERM, and dependent-related visa types. Additional experience with TN, E-3, and/or H-1B1 ideal, but not required.
- Experience with I-140, Adjustment of Status, RFE responses, and/or L-1 preparation preferred, but not required.
- Scan notices and documents from US governmental agencies and provide for legal team review. Simultaneously complete data entry into Voyager and our file sharing systems, including expiration tracking, notifying relevant people of that information, and completing assigned tasks within the platform
- Ship documents, such as petitions and documents for immigration benefits, to clients and governmental agencies, ensuring accuracy of documents, payments, and other details being included in those shipments
- Pick up, sort, and deliver mail received at off-site PO Box and in-building mailbox. Contact FedEx or USPS for any shipping/delivery issues
- Monitor emails and chat messages, responding to internal requests from account managers and/or responding to external stakeholders as required
- Assist with other legal and data-driven tasks, such as platform profile audits, government inquiry submissions, notice preparations, and invoicing assistance
- Monitor the firm’s shared government inbox, saving certified documents to the appropriate folders and profiles, requesting digital signatures, and forwarding to the legal team staff
- Place service requests/USCIS inquiries online or over the phone
- Assist with premium processing upgrades, appointment rescheduling requests, etc. for pending immigration applications
- Prepare recurring data reports through the Voyager platform for the legal team’s use, including visa expirations, green card eligibility, and Request for Evidence tracking. Other reports may include FedEx shipment tracking and monitoring
- Assist paralegals and/or attorneys with government application printing and assembly for final legal review
- Other miscellaneous account management assistance or data reporting tasks as required
Who You Are:
- Detail oriented – being able to complete and manage data entry across multiple platforms with efficiency
- Technology focused – being comfortable using multiple technology platforms and programs to complete daily tasks
- Office Savvy – comfortable working within a professional office environment as an administrative assistant or similar, completing administrative tasks and communicating with different legal teams and stakeholders
- Team Leader – experience overseeing junior-level team members, providing direction or daily goals, and monitoring workloads to ensure task completion
- Bonus if you have experience working within an immigration or similar law firm environment
Compensation and Schedule:
- $47,000 – $62,000/year depending on experience level.
- In-Office only, Monday – Friday. Office hours 9am to 5pm
- Eligible for overtime on hours worked in excess of 40 per week.
- Up to 10% bonus eligibility based on base salary, dependent on individual performance and firm revenue.
